Changing the Email Address on Your AETools Account - Webstore, Support Ticket, and OKTA-Linked OEM Portals
How to update the email address on your AETools webstore, support ticket account, and OKTA-linked OEM portals (WiTECH 2 / Y-Tech, Ford Motorcraft, VW Group Retail Portal). Includes Google Authenticator re-pairing, technician handover, and what to do when verification emails don't arrive.
Why this is more complicated than it should be
Your "email address" lives in several different systems, and changing it in one system does not change it in the others. To fully update your email, you may need to update each one:
- AETools webstore for orders and invoices.
- AETools support ticket system for opening tech tickets (separate account).
- OKTA-protected OEM portals (WiTECH 2 / Y-Tech, Ford Motorcraft, VW Group Retail Portal) - for diagnostic software login.
- Authenticator app pairing - Google Authenticator or similar, tied to the email.
Work through the steps below in order based on which systems you actually use. Steps 2 through 4 cover the four systems; Step 5 handles technician handovers; Steps 6 and 7 handle the most common follow-up issues (verification emails not arriving and re-pairing Google Authenticator).
Step 1 - Decide what you actually need to change
Common scenarios:
Scenario A - You just want order receipts to go to a new email. You only need to update the AETools webstore account. The other systems can keep the old email.
Scenario B - You changed your shop email and want all OEM access on the new one. You need to update every system - webstore, ticket, and each OEM portal and re-pair the authenticator.
Scenario C - A technician left and you need to take over their account. This is harder. OKTA and most OEM portals don't allow simple email transfers between people see Step 5.
Step 2 - Change your AETools webstore email
To update your AETools webstore account email:
- Sign into aetools.us.
- Go to Account → Profile.
- Update the email field.
- Save changes.
- Verify the new email by clicking the link sent to it.
If you can't sign in to make the change (because your password reset goes to the old email), open a support ticket from a friend's computer or call AETools sales.
Step 3 - Change your AETools support ticket email
The ticket system is separate from the webstore. Even after you change your webstore email, your ticket system email may still be the old one. To update:
- Sign into the support ticket portal at aetools.us/support.
- Update email in your ticket-system profile.
- If you can't sign in, contact AETools they can update the email manually.
Step 4 - Change your OKTA-linked OEM portal email
Each OEM portal has its own email change process. Follow the relevant section for the portals you use.
WiTECH 2 / Y-Tech (Stellantis, via OKTA):
- Open a support ticket with AETools.
- Request an OKTA email change for your account.
- AETools coordinates with Stellantis dealer admin to update.
- Approval can take 1–2 business days.
- After approval, you'll receive new OKTA setup emails at the new address.
- You'll need to re-enroll your authenticator app (Google Authenticator) — see Step 7.
Note: Confirm with the AETools team - AETools may be able to directly update WiTECH OKTA email, or it may always need to go through Stellantis dealer admin. The path can vary.
Ford Motorcraft:
- Sign into motorcraft.com.
- Update profile email.
- Verify the new email when prompted.
- If you can't sign in, contact Ford Motorcraft support; AETools can assist if your subscription is through them.
VW Group Retail Portal:
- VW's email change requires Volkswagen support - AETools cannot make this change for you. Contact VW support through the GRP help system.
Step 5 - When a technician has left and you need their account
If the original account email belongs to someone no longer at the shop:
- Open a support ticket with AETools explaining the situation.
- AETools can coordinate with the relevant OEM to transfer account ownership in some cases.
- Authenticator transfer is the hard part. If the original technician set up Google Authenticator, that authenticator is on their phone. You may need to fully reset 2FA on the OEM account see the related article on 2FA recovery.
This process is rarely instant. Expect several business days.
Step 6 - Verification emails not arriving
Common after an email change - you make the change but don't receive the confirmation. Work through the following:
- Check the right inbox. If the change is for OKTA / WiTECH, the verification goes to the new email address. Check both inboxes (and spam folders).
- Wait 10 minutes. Verification emails sometimes take a few minutes to arrive, especially for OKTA.
- Resend. Most systems have a "resend verification" button. Use it.
- Verify the email was entered correctly. A typo in the new email means the verification went nowhere. Confirm with AETools support that the address on file is correct.
Step 7 - Re-pair Google Authenticator after email change
When OKTA accepts the new email, your old authenticator pairing typically becomes invalid:
- Sign in to the OEM portal with the new email.
- The portal prompts you to set up 2FA.
- Open Google Authenticator on your phone.
- Scan the new QR code.
- Delete the old entry from Authenticator for that OEM (otherwise you'll see two entries and may use the wrong code).
- Save the new entry.
- Document the change somewhere - save new credentials in a notepad or password manager.
Common follow-up issues
"OKTA setup emails not arriving even though my email is right" - Check spam/junk folders. Wait - sometimes OKTA emails take longer than expected. The wrong email may be in the request - verify with AETools.
"I changed my webstore email but Y-Tech is still on the old one" - These are separate systems. Update each individually.
"After email change, MicroPod won't activate" - If your subscription is tied to specific account credentials, an email change can briefly desync activation. Unplug the MicroPod, wait a minute, log out and back into WiTECH, then plug back in.
